Shepherd University’s Catering Department is proud to provide outstanding selection and Service for your catered event.
A finalized menu must be set with the catering department within the timeframes below, final guest counts are due five business days before the event. Please fill out one of the catering order forms above to book your event, once you have submitted your event someone from the catering department will get in touch with you to confirm that your event has been booked. We make every effort to accommodate all events, however, the catering department reserves the right of refusal for catered events based on failure to book your event in a timely manner and availability.
Ten Business Days for all banquets, buffets, and receptions.
Five Business Days for Value Breaks.
Three Weeks for large events of 100 guests or more.
Changes or cancellations within three business days of the event are subject to a 20% cancellation fee to cover costs incurred.
CATERING MINIMUM ORDER REQUIREMENT
$100 order minimum for all cold buffets or a minimum of 20 guests. If the minimum dollar amount is not met there will be an additional $60 set-up/breakdown fee.
$175 order minimum for all cold buffets or a minimum of 20 guests. If the minimum dollar amount is not met, there will be an additional $60 set-up/breakdown fee.
$375 order minimum for all hot buffets or a minimum of 25 guests. If the minimum dollar amount is not met, there will be an additional $60 set-up/breakdown fee.
A LA CARTE MENUS
A la carte menus are available for pick up at the dining hall or delivery and no set-up or linen provided. Linens are available for rental at an additional fee of $5.00 per tablecloth.
$75 order minimum for all value breaks, if the minimum dollar amount is not met then the food will be dropped off, for a full set up there will be an additional $35 set-up/breakdown fee.
$100 order minimum for all hot buffets or a minimum of 25 guests. If the minimum dollar amount is not met, there will be an additional $35 set-up/breakdown fee.
ROOM RESERVATIONS & EQUIPMENT
It is the responsibility of the customer to make room reservations. For events in the Dining Hall including the Lower Dining Hall, please contact the Catering Department. For events in the Student Center, contact the Student Center Information Desk at 304-876-5497 to reserve your room, tables and other equipment in conjunction with your food order. To reserve rooms in other campus buildings, please make sure you contact the appropriate representative for that building.
It is also the responsibility of the customer to assure adequate seating/tables is provided for the event. If the room reserved does not provided adequate seating or tables for the event, it is the customer’s responsibility to make arrangements for delivery/set up/tear down of the necessary equipment through Shepherd University Facilities Management, 304-875-5236 or an offsite rental company. It is the customer’s responsibility to confirm adequate trash receptacles are available at the time of the event as well as removal and disposal of trash following the event. If trash service is not provided with the room reservation, the customer is to contact Facilities Management (for on campus events) to request service. Shepherd University Catering cannot remove or transport waste.
If you would like to reserve the lower dining hall for your catered event, please contact the Catering Department, 304-876-5145. If this venue is desired for a non-catered event by a non-university group, there is a $100.00 room charge. If specialized equipment is needed for your event, it is the customer’s responsibility to ensure that those are available and ordered for the event Catering services will not be responsible for renting any equipment. Linens are available for rental at $5.00 per tablecloth.
Shepherd University Catering delivers to any on-campus location and within a 15 mile radius of the campus. All off-campus deliveries must be a minimum of $500.00 and will incur an additional 20% service fee.
The following services are offered for your catered event at an additional charge.
Events exceeding four hours of service time will accrue an additional labor fee. Specialized services such as the use of a carving chef, omelet chef, action station chef will incur an additional charge of $25 per labor hour.
Your bill is based on the guarantees given within the seven to three business day window required for your event. As a guideline, we prepare food to accommodate 5% over the final guest count.
Tax is not included in the prices displayed in the Catering Guide and will be added to the final invoice unless a WV Tax Exempt number is provided.
All bills are to be paid within 30 days after receipt of the invoice. Payment of services may be made via cash, check, credit card, money order, or Rambler card. If paying by check, please cite the name of the event and/or invoice number in the memo portion. Checks should be written to Shepherd University and mailed to:
